Roster Department Check-In

Greetings:

The first order of business for this week is for both Goldenboy and myself to settle into our new roles. This started 11/26 by taking Goldenboy through the process of promoting a trial member to a full member.

We currently have 9 trial members. The due date and number of approved character sheets due for that day are posted below:

11/27- 1 Final Notice Sent
-11/30- 2 Reminders/Final Notices Sent
-12/1- 3 Reminders Sent
-12/6- 1 Task Given to @Goldenboywva on 11/30
-12/10- 2 Task Given to @Goldenboywva on 11/30


Reminders are going to be sent out for people due 11/30 through 12/1 are being sent out on 11/28, while the reminder for 11/27 were sent out on 11/23 and 11/26. Reminders for 12/6 onward are being sent by @Goldenboywva on 12/1.

My current project is to go through the templates for character sheets and edit each to include @name. I am hoping that this is limit the number of members that forget to put their @name in their character sheets. Finished

My second project is to start recruiting for a second Roster Officer, as it is just Goldenboy and myself. We aren't really pressed for help, but it is better to start the search before we need help. Ongoing Project

I also recently started putting notes for members that posted they will be gone for periods of time on the IG Roster, so it is recorded in-game in addition to the forums. Finished through 11/30/14--Ongoing Project

I have also offered my services to some members having a problem with their character sheet. Ongoing Project

12/2/14 Check-In

I am trying out a new note system for the in-game forum. It will now state the due date for Approved Character Sheet, as the top line--at the moment I am still using PST Time, as 3AM EST isn't exactly a stretch for the end of my day... Then, I have three categories: greeting, reminder, and final notice. This is to write when messages are sent and what the subject for the sent message was. Work in Progress, currently finished for all existing trial members.

We currently have two members with expired trial memberships. They have until 12/3 and 12/4 at midnight to respond to me before getting kicked from the guild for not meeting my requirements. All of them have received 3 reminders since joining the guild. A Goodbye message is sent when they are kicked informing them they can reapply when they have more time--not in these exact words. Finished.

We have 8 trial members in the guild, as of 12/2/14 at 10:35 PM EST. All messages have been sent for the beginning of this week and marked in the in-game roster. One trial member has sent notice of a period of inactivity, so it has been noted in the in-game roster and Gata posted his notice to her on the forums.

I will continue to help Goldenboywva adjust to his new role and continue to adjust to my new role. Met on 12/5 @ 11:33PM EST

We will continue to help new members with their trial period and their character sheets. WIP

Both templates for Character Sheets have been updated to include @name somewhere near the top.

12/8/14 Check-In

New system for Notes Section is being implemented for all new trial members, as of 12/5/14.

Roster Officer Guidelines have been posted.

We currently have 6 trial members and 1 in-active trial member with a notice of absence.

We will continue to help new members with their trial periods and their character sheets.

We will determine a date of the week for the bi-weekly Senior Officer-Officer meeting/reviews.

I will be going over Character Sheets standards at some point this week with Goldenboywva.

I will attempt to figure out why brand new members keep going straight to "Trial Period Expired" opposed to "Trial Member"--I offer no promise of finding the solution, but I will try. If nothing else, I am aware of it, and will keep checking for the error. It has occurred and been corrected 3 times, as of 12/8/14 at 3AM EST.

I am working on a technical guide for processes related to in-game and forum-based roster tools.

1/27/15

This week following my reminder protocol, I will contact all members that have submitted a character sheet, but needed to make changes in order for them to be approved.

I will continue to get to know and teach my new officer, @MajorFeels, the ropes of the Roster Department.

Also, I need to keep reminding myself to promote members twice so that they don't go to The Dungeon.

We have a number of character sheets that were due on the 25th and 26th of this month, so I will deal with members that have not turned in a character sheet by handing out final notices, as we have a manageable number of trial members currently. I will continue to work on sending congratulation messages to newly promoted full-members in order to further integrate them in the guild and try to get them to come to RP events and causal RP sessions.
