The Diplomacy Department

Welcome to the Diplomacy Department. This forum is a singular location for Officers to locate everything that is needed in order to fully complete your responsibilities as a Diplomacy Officer with Blue Skooma.

The Diplomacy Dept. has the following responsibilities:

Recruitment - to include advertising, recruiting and processing new applications.
New Member Liaisons – assists new members integrating into Guild life that includes answering questions, teaching RP, and introducing them to current members.
Faction Integration - assists Faction Leaders with faction management, structure, and recruiting new members into their perspective Factions.

Daily Duties of a Diplomacy Officer
Check blueskooma.com for applications that need to be processed.
Bump threads on out of game advertisements.
Do a Zone Advertisement run.

Recruitment
To maintain an active guild atmosphere, we must constantly recruit quality, new members. Recruiting on websites may be as easy as bumping an existing thread with information about an upcoming event or a screenshot of a past event. Recruiting in Zone Chat is usually the most effective way to reach new members, but has its own drawbacks in that you will often see trolls or griefers disrupting your recruiting. Always point a potential candidate to the website. They must fill out an application before they can be considered.

Bumping these sites is a good way to get exposure for us as well. Make sure to put something pertaining to the guild though not just "bump". Possibly a picture and caption, maybe with a little story of what is going on in the picture, or something interesting happening in the guild RP. Be creative with how you bump the threads and put us further in the public eye!

Zone Ads
After checking pending applications, posting Zone ads is an easy way to get the Blue Skooma message out by doing a Zone Run. This can also be done while just playing the game normally, and sending out ads in the zone you happen to be in while questing.

A method that has worked quite well is to progressively move through each zone and post an advertisement in Zone Chat. You can use this one or create something similar:

“A shadow in the capitol of Auridon, |H1:guild:91683|hRuby-Bound|h is a Civilian/Town Based RP guild set in Shattered Grove that welcomes any and all who visit or reside. Diverse factions of mercenaries, mages, and thieves, regular events, and a friendly community await! Active Discord and Forum. Visit www.Ruby-Bound.com today!”

It is optional if you want to wait a few moments in that zone in case someone has a question in Zone Chat. Most generally, any questions will be whispered to you so I jump onto the next zone after posting. The best method to engage someone regarding the Guild is within a PM, and not in the Zone Chat.

Applications
Once an application is received, look for:

Content - Did they take the application seriously?
Length - How much did they bother to tell you?
Grammar - Will this person type nicely in Roleplay?

While we do not have to take everyone, answering these questions will be helpful in understanding the type of player you may be seeing in the Guild.

Be sure to read through the entire application, but pay special attention to the Secret Word to ensure they have read the rules. Also, read through the question that states "Briefly tell us about one of the characters you want to roleplay or have roleplayed in the past, as well as your experience with roleplay."

You want to make sure that there is a minimum understanding of roleplaying as well as some idea of what the applicant desires to play. If the applicant identifies as a Werewolf/Vampire, make sure you point them to the Supernatural Section of the forums in your Application Comment.

If the applicant has not included the Secret Word or has left out something pertinent to the application, request the missing information in the Application Comments.

Invitations
When a candidate’s application is ready to be approved, you should post a message in the Application Comments similar to:

“Application Approved. Be sure to read through the "Getting Started" section of the forums and if you have any questions, feel free to ask. Welcome to Blue Skooma!”

If the applicant states that they are a Vampire or Werewolf, include this message in the Application Comments instead:

“Application Approved. Be sure to read through the "Getting Started" section of the forums and pay special attention to the Supernatural section. If you have any questions, feel free to ask. Welcome to Blue Skooma!”

Once you have posted a comment on the app, click the Application Approved button on the top right of the screen. You will then need to invite the applicant into the in-game guild. If at all possible, do not approve an app unless you are able to log into the game and add them to the Guild.

When sending a guild invite in game, also send out a welcome mail. The mail should include our location: Shattered Grove, Auridon.

Here is an example of my welcome mail:

Hello and welcome to Ruby Bound Roleplayers!

Our rp hub is Shattered Grove, Auridon. Easiest way to get there and rp is to teleport to one of the guild members at that location in the roster. Don’t be afraid to ask anywhere for rp! If you have any questions or concerns, feel free to mail or whisper me.

Faction Officer

The Faction Officer is directly responsible for contacting new members OOC and introducing the various Factions that a member may be interested in. This would include in-game mails with a brief description of the potential Faction and the contact person for that Faction.

The Faction Officer will participate in Recruiting needs as needed, but will primarily spend time working with Factions.

New Member Officer & Liaisons

New Member Liaisons primary purpose it to help integrate new players into the life of the Guild by teaching good RP practices, inviting to events, introducing them to existing members and helping them integrate into a Faction.

Liaison responsibilities:
1. Be available OOCly to answer questions and give RP tips
2. To ICly meet and engage with new players
3. ICly introduce new players to existing members
4. Actively try to pull new players into Events (Guild and Faction, if applicable)

The New Member Officer will participate in Recruiting needs as needed, but will primarily spend time working with new members.
